Four questions, and one honest answer about when to go elsewhere

Written for someone at the beginning of the process who has not chosen a supplier and may not have chosen a country. It includes the case against Vietnam, because a decision made without it is not really a decision.

The four questions

  1. Is there real working content? If the agenda needs parallel breakout streams and dependable bandwidth, that narrows Vietnam to one destination immediately. Most planners answer this last; it should be first.
  2. What is the evening for? A group dinner and an awards ceremony are different products. If names are being called and people are being thanked, the setting has to hold everyone in one place with no easy exit — and that requirement eliminates more options than budget does.
  3. How many delegates, exactly? Not a range. The thresholds that matter — vehicle capacity, venue capacity, vessel capacity — sit at specific numbers, and a group of 46 has a different answer from a group of 44.
  4. What month, and is it movable? Vietnam spans about 1,600 km of latitude and the destinations do not share a season. Fixed dates are a destination-selection input rather than a problem to negotiate.

The seasonal trap

The most expensive mistake made by planners new to Vietnam is treating it as one country with one season. It is not.

If your dates are...The wrong assumptionThe right answer
Early NovemberCentral Vietnam beaches are lovely in autumnDa Nang is in its flooding window. Look north to Ha Long Bay, which is at its best.
JanuaryWinter is high season everywhere in Southeast AsiaTrue in the south, false in the north. Ha Long Bay is cold and misty; Phu Quoc is excellent.
JulyWet season means avoid the whole countryPhu Quoc is wet; Da Nang is at peak and very hot. They are 700 km apart.
OctoberShoulder season should be good valueOctober is the highest-risk month in central Vietnam. It is cheap for a reason.
Use fixed dates as an input, not an obstacle

When a client's dates cannot move, the destination usually can. A supplier who responds to fixed November dates by discounting a Da Nang beach programme is not looking after you.

When Vietnam is the wrong answer

  • Above about 500 delegates in one room with breakouts. Singapore, Bangkok or Kuala Lumpur have depth Vietnam does not. Below 300, Vietnam competes strongly on value and build quality.
  • When most delegates are flying long-haul on tight schedules. Access outside the main gateways usually means a connection, which costs a day at each end.
  • When the programme is genuinely a training intensive. Multi-day, materials-heavy, breakout-dependent work is better served by a city hotel close to where your people already are, and the travel budget is better spent elsewhere.
  • When the group has been to Vietnam recently. Obvious, and it still happens. The distinctiveness is a large part of the value.
  • When your risk appetite cannot accommodate a weather contingency. Every destination here has a window with real disruption risk. If the programme absolutely cannot move indoors or ashore, choose a season carefully or choose elsewhere.

Where Vietnam does compete: value at four and five star, recent build quality, food, and a setting most groups have not seen. For a reward programme under 200 people, those four are a strong combination.

Common questions

Questions clients ask most

How does Vietnam compare with Thailand?

Thailand has more depth at large scale, longer-established suppliers and better long-haul access. Vietnam offers better value at equivalent grade, newer properties, and more distinctiveness for an incentive. Under 300 delegates the comparison is close; above 500 Thailand wins.

Can we visit before deciding?

Yes, and for anything above 150 delegates it is worth the two days. A site inspection resolves more questions than a month of correspondence, and several venue issues are only visible standing in the room.

What if the group is split across several countries?

Da Nang, almost certainly — it has the best regional air access of the three and staged arrivals are manageable there in a way they are not on an island.

Which destination for a first-time programme in Vietnam?

Da Nang. The most supply, the best access, the widest range of programme types and the fewest ways for a first programme to go wrong.
