Home

Do you operate the programme yourselves?

We contract and manage it. Delivery on the ground is by an operator contracted to us in each destination, named in your quote, holding its own licences and insurance. We remain your single contracting party and the point of accountability throughout — stated plainly because it is exactly what your procurement team should be checking.

Is the first quote free?

Feasibility and an indicative price range are free and take eight working hours. The detailed quote — named venues, hour-by-hour programme, itemised costing, dates held — needs a refundable card authorisation that is released whether you book or not.

How far ahead should we start?

Sixty days under 50 delegates, ninety for 50 to 200, and 120 in peak season or above 200. In October and November the constraint is function space rather than bedrooms, so earlier is better.

Can we get your documentation before requesting a quote?

Yes. The procurement pack is free at any stage, within two working days, and does not sit behind the authorisation.

Do you work in Hanoi or Ho Chi Minh City?

We handle arrivals, transfers and a city dinner in both as part of a programme running elsewhere. We do not present ourselves as a full operator where we hold no contracted DMC — if your programme is genuinely city-based, another supplier will serve you better.

Corporate MICE

Do you actually operate the programme yourselves?

We contract and manage it, with delivery on the ground by an operator contracted exclusively to us in each destination and named in your quote. That operator holds its own licences and insurance. We remain your single contracting party and the point of accountability throughout — which is the arrangement your procurement team should be checking, and we put it in writing rather than glossing it.

Can we get a quote without a card authorisation?

You get feasibility and an indicative price range free, which is enough for an internal budget conversation. The detailed quote — named venues, real costing, held dates — needs the authorisation. See how we quote.

What insurance do you carry?

Public liability held by the contracting entity and by each operator, with certificates supplied at contract stage without you having to ask twice. Details on liability and insurance.

How far ahead should we start?

Sixty days for groups under 50, ninety for 50 to 200, and 120 in peak season or above 200. Earlier is better in October and November, when the constraint is function space rather than bedrooms.

How we quote

Is the authorisation refundable if we book elsewhere?

Yes, in full, and released as soon as you tell us. We would rather know quickly than hold your authorisation for thirty days while you have already decided.

What if we need to change the brief after the quote?

Revisions are free. The authorisation covers the programme, not the document version.

Can we see a sample detailed quote?

Yes — a redacted one from a comparable programme, on request, at no cost. It is the fastest way to judge whether the detail is worth the authorisation.

How long does the free stage really take?

Eight working hours to a substantive answer during GMT+7 business hours. Not an acknowledgement — a yes, a no, or a specific question.

Read in full: How we quote.

Accountability

Who exactly signs the contract?

MICETOURS as the contracting entity. Delivery on the ground is by an operator contracted to us and named in your quote, holding its own licences and insurance. Your contractual relationship and your escalation path are with us throughout.

Can we speak to the on-site operator directly?

Yes, for routine operational matters during the programme — it is faster. For anything that has become a problem, come to us instead, because we hold the commercial leverage and you do not.

What if we are unhappy after the programme?

Raise it within the programme if at all possible, because almost everything is fixable on day two and nothing is fixable three weeks later. Afterwards, the post-event report is the basis and every deviation is already in it, including ones you did not notice.

Do you provide references?

Yes, from comparable programmes, with the client's permission. For a procurement process we also supply the full standards pack — see procurement documentation.

Conferences

Can we run a 200-delegate conference on Phu Quoc?

A plenary, in a small number of properties. With four parallel breakout streams, no — the island runs out of function space before it runs out of ambition. We will name the properties that can do what you need rather than implying the destination generally can.

Is simultaneous interpretation available?

In Da Nang, yes, with booths and certified interpreters. On Phu Quoc it requires interpreters flown in, which changes the cost materially. On Ha Long Bay, only whisper interpretation for a small group.

Do you handle registration and badging?

Yes — desk, staffing, on-site badge printing and an attendance export for your records. Quoted separately because most programmes do not need it.

How far ahead for a conference above 150?

Ninety days minimum and 120 in peak season. Function space at that size has fewer alternatives than bedrooms and it books out first.

Incentive travel

What group size works best?

Thirty to seventy. Below thirty an awards dinner can feel thin. Above seventy you need a setting where everyone still sees the stage, which narrows the destination choice considerably and should be decided early.

Can partners and spouses come?

Yes. It changes the room arithmetic rather than the per-head rate, and it can move the group across a size band and therefore across a cost threshold. Tell us at brief stage rather than after the quote.

How much of the budget should the gala take?

Typically 6 to 18%. Below that it will not carry the recognition. Above it, the money usually does more in the accommodation grade — every delegate experiences the room for the whole programme and the gala for three hours.

Do you help with qualifier communications?

No — that is internal work and it is where most of the incentive's value is actually created, well before anyone travels. We supply destination imagery and a programme summary for your announcement materials.

Read in full: Incentive travel.

Gala dinners

Can a beach gala hold 300?

On a small number of beaches in Da Nang. On Phu Quoc about 250 is the practical ceiling, and it depends on the specific stretch of sand. Both need a site visit before we confirm a number to you.

Are fireworks possible?

Rarely, with permits arranged well in advance at specific venues, and not at all at the Ha Long Bay anchorages. Cold sparklers are usually the workable version and they photograph better than people expect.

How late can it run?

A resort or ballroom typically to 23:00 or midnight. On Ha Long Bay amplified music stops around 21:45 under the anchorage noise rule, which is set by the bay authority and applies to every vessel regardless of what you have chartered.

Who writes the run of show?

We do, from your content, sent for approval at D-7. If you have an internal events team with their own format, we work to theirs instead.

Read in full: Gala dinners.

Team building

How much activity actually fits?

Two usable blocks in a three-day programme, and the second is often short. Agendas routinely assume four. If team building is the main purpose rather than one element, a dedicated venue near a city will deliver more activity for less money and we would say so.

Can non-swimmers take part in water formats?

Yes, with mandatory life jackets and paired equipment so nobody is alone. Give us the numbers at brief stage rather than at the beach.

Do you provide the facilitator?

Yes, bilingual, with scorers above 60 participants. The facilitator and the coordinator are separate roles and we do not merge them — merging them produces an activity that runs but does not land.

What happens if the weather rules out the main activity?

The written substitute runs, and it is in the programme document your team receives before travel. Nobody stands around at 15:00 deciding what to do instead.

Read in full: Team building.

Destinations

Can we combine two destinations?

Yes. Da Nang with Ha Long Bay is the strongest pairing — working content in Da Nang, the incentive evening on the bay. Budget an internal flight and half a day of movement. Phu Quoc pairs less naturally because the routing is longer.

What about Hanoi or Ho Chi Minh City?

We handle arrivals, transfers and a city dinner in both as part of a programme running elsewhere. We do not present ourselves as a full operator in a city where we hold no contracted DMC — if your programme is genuinely Hanoi-based, another supplier will serve you better and we will say so.

Which is best value?

Da Nang, generally, because supply depth keeps prices honest. Ha Long Bay is the most expensive per head at small group sizes because vessel capacity is the constraint. See prices.

We have not decided. What do you need to advise?

Headcount, month, whether there is real working content, and what the evening is for. Those four answers usually settle it within one exchange, and the feasibility reply is free.

Prices

How accurate are these ranges?

We commit to quoting within 15% of the indicative range provided the brief is accurate and the destination, accommodation grade, programme length and season do not change. If our detailed quote falls outside that, explaining the difference is on us.

Why a range rather than a price?

Because accommodation grade, venue choice, activity set and season move the number materially. A single figure would be a fiction and you would discover it at quote stage, which is worse for both of us.

Can we reduce the price?

Usually, and the honest levers are accommodation grade, season and gala scope — in that order of impact. Cutting the coordinator or the contingency saves very little and costs you the things that make a programme work.

Is VAT included?

Yes, and a full tax invoice is issued to your company. Air tickets are excluded throughout.

Read in full: Prices.

Payment and cancellation

Can payment terms match our internal approval cycle?

Where your cycle is later than our schedule, the gap has to be bridged — we cannot fund supplier deposits. Where it is earlier, no problem. Companies with an established relationship can discuss adjusted terms rather than negotiating per booking.

Is the deposit refundable if our board declines?

No, and that is exactly why the seven-day hold exists and costs nothing. Use the hold for internal approval and pay the deposit once the decision is made.

Do you accept purchase orders?

Yes. A PO referenced on the invoice is standard for corporate clients and we will work to your procurement process rather than insisting on ours.

What if a supplier fails and we want compensation?

A material failure attributable to us is credited on the affected component and settled against the final invoice, not through a separate claim process. See accountability.

Read in full: Payment and cancellation.

Liability and insurance

Do you require delegates to have travel insurance?

We require your organisation to confirm delegates are covered. We do not verify individual policies, and we will not proceed with high-risk activity elements without that confirmation.

What happens in a medical emergency?

The coordinator activates the written emergency plan for that programme — hospital routing, named contacts, and your nominated emergency contact informed. A written report follows within 24 hours.

Can our insurer contact you directly?

Yes, and we would rather they did before the programme than after an incident. We supply whatever documentation an underwriter asks for.

Do you carry professional indemnity?

Yes, at the contracting entity level, with the certificate in the procurement pack alongside public liability.

Read in full: Liability and insurance.

Post-event reporting

Can we get the report in our own template?

Send it and we will populate it. Most clients find ours covers what they need after the first programme, but if your organisation has a required format, we work to it.

How detailed is the account?

Line by line against the quoted components, with any variance explained. Pass-through amendments come with the supplier invoice attached rather than as a marked-up figure.

Do you report problems we did not see?

Yes, deliberately. A report that only records success is not useful to you when you are deciding whether to use us again.

How long do you keep programme records?

For the statutory retention period applicable to the contracting entity. Delegate personal data is retained only as long as required and is never added to a marketing list.

Read in full: Post-event reporting.

Procurement pack

Can we get the pack before requesting a quote?

Yes, at any stage, free, within two working days. Supplier assessment before pricing is a normal sequence in many organisations and we are not going to obstruct it.

Do you complete supplier questionnaires?

Yes, in your format. If a question does not apply to a Vietnamese ground operation we will say so rather than leaving it blank or inventing an answer.

Will you sign our standard supplier terms?

We will review them and respond with any points that conflict with the operational reality — force majeure and weather contingency are the usual two. Most are resolved in one exchange.

Can you invoice a different group entity from the one that books?

Yes, with written instruction from the booking entity. Tell us early because it affects the VAT documentation.

Budgeting an offsite

What per-person figure should we start with?

For Vietnam at a good four to five-star grade, four days and three nights, somewhere between 260 and 540 USD depending on destination, group size and season. Use it to sanity-check a component build rather than as the basis for one. Indicative ranges by band.

How much should the gala be?

Six to eighteen percent of the programme. Below that it will not carry a recognition moment. Above it, the money usually does more in the accommodation grade, which every delegate experiences for the entire programme.

Should we budget in USD or VND?

Whichever your finance function reports in. Ask the supplier to hold the quoted currency for the life of the booking so exchange movement after confirmation is not passed on — that is a reasonable request and a supplier who refuses it is telling you something.

What is a realistic contingency?

Ten percent minimum, fifteen for a programme in a weather-risk window or above 150 delegates. Unspent contingency is a good outcome, not a planning error.

Read in full: Budgeting an offsite.

Planning timeline

We have 45 days. Is it possible?

For a group under 50 in shoulder season, usually. For 150 in peak season, not at a standard price and possibly not at all. A supplier should tell you which of those you are in before taking a deposit.

What if our dates are not confirmed yet?

Use the free feasibility stage to test two or three date options before committing to anything. Holding inventory on unconfirmed dates is where deposits get lost.

Can we add delegates after D-14?

Sometimes, at cost, where capacity exists. In peak season, often not at all. Nominate your guaranteed minimum conservatively and add rather than subtract.

How long does approval usually take internally?

Longer than anyone plans for. Build three weeks into your timeline between receiving a quote and being able to sign, and use the free seven-day hold rather than a deposit to protect the dates during it.

Read in full: Planning timeline.

Evaluating a quote

Is the cheapest quote ever the right one?

Frequently, for a low-stakes programme where you can absorb a problem. For an event where the chief executive is speaking or a duty-of-care review will follow, the cheapest quote is usually cheap because something has been left out.

How many quotes should we get?

Two thorough ones beat four superficial ones. If your policy requires three, ask two of them for an indicative range rather than a full costing — it satisfies the policy without wasting anyone's fortnight.

Should we share our budget with suppliers?

Yes, as a band. Withholding it means suppliers guess, usually low, and then the proposal is nothing like what you wanted. A supplier who inflates to fill a stated budget will be visible in the itemisation.

What if a supplier will not name venues?

It means nothing has been checked or held. Treat it as a proposal, not a quote, and do not compare it against a real one on price.

Read in full: Evaluating a quote.

Choosing a destination

How does Vietnam compare with Thailand?

Thailand has more depth at large scale, longer-established suppliers and better long-haul access. Vietnam offers better value at equivalent grade, newer properties, and more distinctiveness for an incentive. Under 300 delegates the comparison is close; above 500 Thailand wins.

Can we visit before deciding?

Yes, and for anything above 150 delegates it is worth the two days. A site inspection resolves more questions than a month of correspondence, and several venue issues are only visible standing in the room.

What if the group is split across several countries?

Da Nang, almost certainly — it has the best regional air access of the three and staged arrivals are manageable there in a way they are not on an island.

Which destination for a first-time programme in Vietnam?

Da Nang. The most supply, the best access, the widest range of programme types and the fewest ways for a first programme to go wrong.
