The fallback is held and paid for, not hoped for
An outdoor gala without a contracted indoor alternative is a bet on the weather with your company's awards evening as the stake. Every outdoor gala we run carries a venue that is held, a decision deadline, and a cost formula agreed in advance.
Four settings, four failure modes
| Setting | Where | Ceiling | Fails when |
|---|---|---|---|
| Beach | Phu Quoc, Da Nang | ~250 | Rain, or wind above about 20 kt which takes down anything rigged |
| Ballroom | Da Nang, some Phu Quoc resorts | ~300 | Rarely. The reliable option, and the least memorable. |
| Riverside | Da Nang, Hoi An | ~150 | Rain; and old town access slows load-in considerably |
| Deck at anchor | Ha Long Bay | ~70 | Rain, cold, or a headcount above the deck's seated capacity |
A deck seats about 70 and a beach about 250. These are physical dimensions and no budget changes them. Choosing a setting and then discovering the headcount does not fit is the point at which an internal champion loses credibility with their own board.
What production includes
- Standard: stage or riser, backdrop, PA sized to the room, lighting wash, bilingual MC, and a written run of show. Included at a defined level in the quoted price.
- Beyond standard: LED wall, full lighting rig, live band, dancers, custom set, photography and video. Quoted separately because it does not scale per head.
- Always: a run-of-show document sent for your approval at D-7, a rehearsal slot in the schedule, and a named production contact on site.
- Never assumed: alcohol beyond the welcome service. It is the largest single variable in a gala budget and it belongs in the conversation early rather than in a variation invoice afterwards.
It is dropped to save an afternoon, and it is the most reliable predictor of an evening running badly — awards read in the wrong order, a video that does not play, a chief executive who cannot find the microphone. We build it in and we will push back when it is cut.
The wet-weather plan
- The indoor alternative is contracted and held for the same date, at the same venue where possible. Held means paid for or contractually committed, not verbally available.
- The decision deadline is D-1 at 16:00 for anything requiring rigging, with a final confirmation at 14:00 on the day.
- The alternative is named in your programme document before travel, so your team is not discovering the plan at 15:00.
- The cost difference is a formula in the quote, so the conversation on the day is about logistics rather than money.
This is occasionally why our quote is higher than another. It is worth asking a cheaper supplier a single question: is the wet-weather venue held, and what is the decision deadline? The answer is usually revealing.
Questions clients ask most
Can a beach gala hold 300?
On a small number of beaches in Da Nang. On Phu Quoc about 250 is the practical ceiling, and it depends on the specific stretch of sand. Both need a site visit before we confirm a number to you.
Are fireworks possible?
Rarely, with permits arranged well in advance at specific venues, and not at all at the Ha Long Bay anchorages. Cold sparklers are usually the workable version and they photograph better than people expect.
How late can it run?
A resort or ballroom typically to 23:00 or midnight. On Ha Long Bay amplified music stops around 21:45 under the anchorage noise rule, which is set by the bay authority and applies to every vessel regardless of what you have chartered.
Who writes the run of show?
We do, from your content, sent for approval at D-7. If you have an internal events team with their own format, we work to theirs instead.
