Assigned teams, and a written substitute for every outdoor element
Two things decide whether a team building day produces anything: whether the teams were assigned rather than chosen, and whether the format that carries the day can survive bad weather. Both are decided before anyone travels.
Formats by how well they survive weather
| Format | Where | Weather risk | Group size |
|---|---|---|---|
| Indoor challenge or workshop | All three | None | Any |
| Cooking challenge | All three | None | Up to ~60 per kitchen |
| Amazing race | Da Nang, Hoi An | Low | Up to ~150 |
| CSR build or community project | Da Nang, Phu Quoc | Low | Up to ~100 |
| Beach games | Phu Quoc, Da Nang | Medium | Up to ~200 |
| Kayak or boat programme | Phu Quoc, Ha Long Bay | High | Varies |
| Water sports | Phu Quoc | High | Up to ~80 |
The common mistake is making kayaking the centrepiece and an indoor game the filler, then losing the centrepiece to a forecast. Reverse it: the weather-independent format carries the day, and the water format is upside.
Assigned teams — we will insist on this
Self-selected teams reproduce the org chart, the existing friendships and the existing silos. That is the precise opposite of the exercise's purpose, and it is the most common reason a well-run activity produces no result at all.
- Send us the department and seniority list and let us mix it.
- Mix across function and across level, not only across department.
- Do not let captains be chosen by acclaim — it selects for confidence, which most teams have enough of already.
- Avoid formats that publicly rank individuals inside a programme that has already rewarded the top performers.
Ratios and safety
| Element | Standard |
|---|---|
| Facilitator | 1 per 25 participants for scored formats, plus scorers above 60 |
| Guide | 1 per 28 guests, programme-wide |
| Coordinator | 1 per group; on Ha Long Bay, 1 per vessel |
| Medic | On site from 100 participants |
| Water safety | A dedicated safety boat, not the programme's own tender doing two jobs |
| Life jackets | Mandatory for all participants regardless of stated swimming ability |
| Suspension authority | The coordinator, on conditions rather than on schedule |
The last row is worth telling your delegates in advance. When a water session is suspended it is a safety decision that neither you nor our sales team can override, and a group told beforehand reads it correctly rather than as a service failure.
Questions clients ask most
How much activity actually fits?
Two usable blocks in a three-day programme, and the second is often short. Agendas routinely assume four. If team building is the main purpose rather than one element, a dedicated venue near a city will deliver more activity for less money and we would say so.
Can non-swimmers take part in water formats?
Yes, with mandatory life jackets and paired equipment so nobody is alone. Give us the numbers at brief stage rather than at the beach.
Do you provide the facilitator?
Yes, bilingual, with scorers above 60 participants. The facilitator and the coordinator are separate roles and we do not merge them — merging them produces an activity that runs but does not land.
What happens if the weather rules out the main activity?
The written substitute runs, and it is in the programme document your team receives before travel. Nobody stands around at 15:00 deciding what to do instead.
